Terms of Service
Version 1.2, effective 7 October 2026.
These terms are an agreement between DeinX Technologies ("we", "us"), which provides the Dein School service, and the school, trust or institution that signs up for the Service (the "School"). They also set the rules for every person the School lets use the Service: its administrators, staff and parents ("Users").
If you sign up on behalf of a School, you confirm that you are authorised to accept these terms for it. If the School has signed a separate written agreement with us, that agreement takes precedence where the two differ.
1. The Service
Dein School is school management software. It includes a web application for school administrators and staff, a mobile app for parents and staff, and related features such as attendance, fees, exams, homework, timetable, announcements, transport and notifications (the "Service"). Features may differ by plan.
2. Accounts
- The School creates accounts. We create the School's first administrator account. The School then adds its own staff and parents, and decides what each staff member may do.
- Sign in is by a one time password sent to the User's registered mobile number. The School's emergency administrator account signs in with a password instead, and the School must keep that password secret. Users must keep their phone and account secure and must not share access.
- The School is responsible for the people it adds, for removing access when someone leaves, and for everything done under its accounts.
3. School data
- The School owns its data. Everything the School and its Users put into the Service remains the School's ("School Data").
- Our licence. The School allows us to store, process and display School Data only to provide, secure and support the Service, and as described in our Data Processing Agreement, which forms part of these terms.
- The School's responsibilities. The School is the Data Fiduciary for School Data under the Digital Personal Data Protection Act, 2023. It is responsible for having a lawful basis for the data it records, giving the notices and obtaining the consents the law requires (including verifiable consent of a parent or guardian for children's data, where required), and keeping the data accurate.
- Sensitive data. Fields such as caste, religion, disability and income are optional. The School should collect them only when it has a real need and a legal basis. The Service has no field for government identity numbers or copies of identity cards, and the School must not upload them.
4. School and institution responsibilities
- The School is responsible for the legality of the data it uploads. Every record, photo, document and message that the School or its Users upload to the Service must be one the School has the right to collect, store and share. This includes data about students, parents and staff, and files such as certificates and identity documents.
- We do not check what the School uploads. We do not review School Data before it is stored, and we act on it only as the School instructs. If School Data is unlawful, inaccurate or uploaded without the required consent, the School is responsible for it, as set out in Section 18.
- Requests about School Data. If a parent, staff member or authority asks us about data the School uploaded, we will pass the request to the School, which is responsible for answering it.
5. Profiles and visibility
- Everything is private by default. School profiles, staff and teacher profiles, parent profiles and student records are never public. There is no public directory, no public profile page and no search engine listing of anyone in the Service.
- Who can see a profile. A profile can be seen only by signed in Users of the same School, and only to the extent the School's permissions allow. A parent sees their own children's records, and staff see what their role permits. Users of one school never see another school's data.
- There is nothing to switch off. Because no profile is public, there is no setting needed to make a profile private. A School controls who sees what by adding and removing Users and by choosing what each staff member may do.
- The school logo. The one file stored at a web address is the school's logo, so that it can appear in the app, in messages and on documents the School shares. Anyone who has that address can open the logo image, but it does not reveal any other information.
6. Location services
- Bus tracking. When a School uses transport tracking, a bus driver's phone shares its location while the driver runs a trip, so parents can see where the bus is. The location is shown live and is not stored. Sharing stops when the trip ends. A parent may also choose to show their own position on the bus map. That position stays on the parent's phone and is never sent to us.
- Attendance. Attendance is recorded by school staff. The Service does not use anyone's location to mark or check attendance.
- Consent is required. The app uses location only after you give the location permission on your device, and only for the features above. It never asks for permission to use your location all the time. A driver's phone keeps sharing while its screen is locked during a trip, and stops when the trip ends.
- Withdrawing consent. You can withdraw consent at any time in your device settings: on Android, Settings, then Apps, then Dein School, then Permissions, then Location; on iPhone, Settings, then Dein School, then Location. After you withdraw it, the bus location (for a driver) or your own position on the map (for a parent) stops being shown. The rest of the app keeps working.
- The School's role. A School that uses transport tracking must tell its drivers and parents how the feature works before they use it.
7. Acceptable use
Users must not:
- use the Service for anything unlawful, or to harass, threaten or harm any person;
- upload content that is obscene, defamatory, infringing, or that contains malware;
- try to access data of another school, another user, or any part of the Service they are not authorised to use;
- probe, scan or test the Service's security, except under our responsible disclosure process on the Security page;
- copy, resell, reverse engineer or build a competing product from the Service;
- send messages through the Service that recipients have not agreed to receive, or use it for advertising unrelated to the School.
We may suspend a User or School that breaches these rules, with notice where it is reasonable to give it.
8. Subscription fees, and school fees between parents and schools
- Plans and prices. The Service is sold in the plans shown on our website, at a price per student per year. Prices on the website exclude GST, which is added at 18% on every invoice.
- Billing. The School pays yearly or half-yearly, directly to us. We invoice in advance for each billing period. If an invoice remains unpaid 30 days after its due date, we may limit the School to read only access after giving notice.
- Refunds and cancellation are governed by our Refund and Cancellation Policy.
- The Service manages fees; it does not take payments. The Service lets a School set up fees, track dues, record the payments it receives, issue receipts and send reminders. It does not process, collect, hold or transfer money, and it is not a payment service or payment aggregator.
- School fees are paid directly to the School. Parents pay the School by the methods the School chooses, such as cash, cheque, UPI or bank transfer. The School may show its own UPI ID, bank details and QR code in the app so parents know where to pay. We never receive school fees and never ask for a parent's card, UPI PIN or bank login.
- Reported payments. A parent may report a payment they made, with its transaction number and an image of it. The report goes to the School, which confirms it before a receipt is issued. Until the School confirms it, a reported payment is not a receipt.
- Refunds of school fees are the School's decision. We are not a party to any fee arrangement or dispute between a School and a parent, and the School is responsible for the accuracy of the fees, dues and receipts it records.
9. Using the Dein School app
This section is for parents and school staff who use the Dein School mobile app or web application ("App Users").
- Who may use it. You must be 18 or older, or use the app with the involvement of a parent or guardian. Students do not have accounts and never sign in.
- Accounts. A school creates staff accounts and adds parents. You cannot sign up on your own. You sign in with a one time password sent to your registered mobile number, and you must keep your phone and account secure.
- The school decides what you can see. What appears in your app is decided by your school and by the permissions it has granted you. Your school, not us, is responsible for the accuracy of its records.
- Acceptable use. The rules in Section 7 apply to you. Use the app only for the school's purposes, and do not share your access with anyone else.
- App stores. If you download the app from the Apple App Store or Google Play, the store's own terms also apply to you. Apple and Google are not parties to these terms and have no obligation to give you support or maintenance for the app. Support for the app comes from us, at info@deinxtechnologies.com.
- Your data. Our Privacy Policy explains what the app collects and the permissions it asks for. You can ask to delete your account at any time, as explained on the account deletion page.
- Updates. The app updates itself automatically with fixes and small improvements, without a new download from the app store. These updates never add permissions or change what the app is for. Larger changes come as a new version through the app store. Keep the app up to date; an old version may stop working when the Service changes.
10. Messages and notifications
The Service can send push notifications, SMS and WhatsApp messages. Delivery depends on phone networks and third party providers, so we cannot guarantee that every message arrives or arrives on time. The Service must not be the only way a School communicates something urgent, such as an emergency closure.
11. Availability and support
We work to keep the Service available and to fix problems quickly, but we do not promise uninterrupted service unless the School's order includes a service level commitment. We may carry out maintenance, and we will try to schedule planned downtime outside school hours. Support is available at info@deinxtechnologies.com.
12. Changes to the Service and these terms
We improve the Service over time and may change or retire features. If we remove a feature a School depends on, or change these terms in a way that materially affects Schools, we will give at least 30 days' notice. Continuing to use the Service after a change takes effect means accepting it.
13. Term, termination and your data
- Term. These terms apply from sign up until the School's account is closed.
- Cancellation by the School. You may cancel your subscription at any time through your account settings page or by contacting info@deinxtechnologies.com. When and how a cancellation takes effect, and whether any fee is refunded, is set out in the Refund and Cancellation Policy.
- Termination by us. We may terminate for a serious breach of these terms that is not fixed within 30 days of notice, or immediately if the law requires it.
- Getting your data out. For 30 days after the account closes, the School may ask us for an export of its data. Account data is kept for the subscription plus those 30 days.
- Deletion. After that period we permanently delete the School's data, including its users' accounts that belong to no other school, and its files. Deletion cannot be undone. Copies in backups expire within 30 days.
14. Intellectual property
We own the Service, its software, design and brand. These terms do not transfer any of our intellectual property to the School, other than the right to use the Service while the account is active. If a School sends us suggestions, we may use them without obligation.
15. Confidentiality
Each party will keep the other's non public information confidential and use it only for purposes of these terms. School Data is always treated as confidential.
16. Warranties and disclaimer
We will provide the Service with reasonable skill and care. Apart from that, the Service is provided "as is". We do not warrant that it will be error free, and the School is responsible for checking important outputs, such as certificates, report cards and fee statements, before relying on them.
17. Limitation of liability
To the extent the law allows:
- neither party is liable for indirect or consequential loss, or for loss of profit, revenue or goodwill;
- each party's total liability under these terms is limited to the fees the School paid us in the 12 months before the claim arose.
These limits do not apply to a party's liability for fraud, for breach of confidentiality, or where the law does not allow liability to be limited.
18. Indemnity
The School will compensate us for claims by third parties arising from School Data the School had no right to record or share, or from a User's breach of Section 7.
19. Governing law and disputes
These terms are governed by the laws of India. The parties will first try to settle any dispute in good faith. If they cannot, the courts at Coimbatore have exclusive jurisdiction.
20. Grievances and contact
Complaints about the Service or about content on it can be sent to our Grievance Officer, Saravanan Krishnasamy, at info@deinxtechnologies.com. We aim to resolve them within one month.
